For those of you who have already walked down the aisle - please help! My wedding is in 4 weeks and the RSVPs are (mostly) in - now its time to create tables of ten guests (we have 315 people coming!)

For those of you who have already walked down the aisle - please help! My wedding is in 4 weeks and the RSVPs are (mostly) in - now its time to create tables of ten guests (we have 315 people coming!)

How did you tackle this? Did you try to seat people who ALL knew each other together? Make sure that every couple knew atleast one other person/couple at the table? Mix teenagers and the couple's friends of the same age, even if they dont know each other?

DId you use excel? Response card piles? paper plates and sticky notes?

What works??! HELP!!!

Hi Mrs. KimKim.....


Using an excel spreadsheet worked for me - it was just easier than writing it out on paper - making changes was fast.


Here are some suggestions:


First ask your parents and his parents who they would like to sit with.  They should be able to enjoy the day as much as possible with their best friends/closest family members.


Next, put all the logical groups together - friends who know each other/relatives/co-workers, etc.


Now you have the oddballs left over - the ones who won't fit at "their" table or who don't know other people.   With those, you just do the best you can.  Put similar ages together, fun people and quiet people, maybe 2 couples with kids together, etc.  If you can, talk to some of them ahead of time like I did.  "Jay, I"m sitting you with my friend Lisa and her husband.  They love Bruce Springsteen as much as you do." to help break the ice.

Remember, nothing is permanent until the wedding day.  Know that you will have to keep making changes until the last RSVP-ignorer is heard from.

It turned out to be easier than I thought.  Don't think of it with dread, make it a game like a jigsaw puzzle.  Vodka helps a lot!!!

(and I totally disagree with the above poster.  Open seating for a wedding of 315 people?   I don't think so!)

Mrs Kim Kim, I used an excel spreadsheet too.  Hand writing was too much for me.

It's probably too late for this now but I added the guest to the spreadsheet as the RSVPs came in. 

I put the wedding party and their spouses up front and our parents together then just used logic as to who knew each other OR if they would have anything in common to talk about.

I also found it wasn't as hard as it seems.

My sister-in-law had little cards with the people's names and their table number on them, at the entrance to the reception-people found their card, then went in and found their table.  I think she used excel to assign them.

I am not having assigned tables -there will be designated tables for us and the parents, that's all.  But my reception is about 100 people, in a small room.  I don't see what's wrong with letting people sit where they want, except for the bridal party and parents.  Most people disagree with me, but it's my wedding:)

One of the reasons that I think it is essential to have assigned seats is beacuse of cost Think about it: if I make sure every table has ten people at it, then I have the least amount of tables possible. However, if you let people seat themselves, they may sit 8 at one table, 7 at another, and then you need more tables - which equal more chair covers, more table clothes, more flower arrangments= more money.

Many of our vendors have said spending time making table assignemnts is your "gift to your guests" so that they feel comfortable and enjoy the night

It does make it much easier on your guests to have assigned tables. Pretty much once the party is bigger than one or two tables, it becomes tricky trying to figure out where to go. Guests like to be told. The less you have to think about it, the happier you are (or, I should say, I am).

Whether you use Excel, response cards, sticky notes, whatever, depends on your personal preference. Cosmo's suggestions are all excellent.


When you sit back and look at your list objectively, I'm guessing it's not as daunting a task as it seems now. Natural groupings tend to work themselves out - let them. Once those are out of the way, you'll feel much better about how much more you have to do and you'll be amazed at how quickly it goes. Good luck!

Unassigned tables are a pain!  People save seats for people that they think are coming and don't show, or there are odd numbers and couples have to split up, etc.  I agree with the poster that said assigned tables keep the guests comfortable.

I tried to keep groups together as much as I could, which for one table meant putting nine instead of eight.  A few other tables were one or two people short (on purpose).  However, my venue didn't charge for tableclothes, seat covers, etc., so I could do this without a problem.

I used Excel and it was amazing. I actually put everyone invited into the spreadsheet by table first. Then as the RSVP's came in, every night I would delete those that couldn't come and rearrange a little. I left a few open seats for arrivals who didn't RSVP. It was a piece of cake.

I tried to keep families together. And for instance, I would put college friends at a table; work friends etc. I asked my parents if there was anyone who shouldn't sit together and they gave me a few hints.
